PrintSent ("we," "us," or "our") operates the PrintSent platform at app.printsent.com (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
2. Information We Collect
Information You Provide
- Account information — your email address and name when your administrator creates your account.
- Organization and company data — company names, organization names, and user associations configured by administrators.
Information Collected Automatically
- Print job data — raw print streams sent from Dealertrack DMS through your PrintSent device, including document content, customer names, email addresses, vehicle information, and financial data contained in repair orders, invoices, and other dealership documents.
- Device information — IP addresses, device serial numbers, firmware versions, and heartbeat/status data from PrintSent devices.
- Usage data — login timestamps, pages accessed, and actions taken within the Service.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Process and classify print jobs received from your Dealertrack system
- Generate PDF documents and deliver them via email to configured recipients
- Authenticate users and manage access to company data
- Monitor device health and troubleshoot technical issues
- Send one-time login codes via email
- Improve and develop the Service
- Comply with legal obligations
4. Data Sharing and Disclosure
We do not sell your personal information. We may share information with:
- Service providers — third-party services that help us operate the platform, including cloud hosting (Vercel), database hosting (Neon), email delivery (SMTP2GO), and document rendering services. These providers only access data as needed to perform their services.
- Your organization — administrators and authorized users within your company or organization can access company-scoped data through the Service.
- Legal requirements — we may disclose information if required by law, regulation, legal process, or governmental request.
5. Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- All data transmitted between devices and our cloud is encrypted via HTTPS/TLS.
- API keys are hashed and stored securely. Device access PINs use constant-time comparison with rate limiting.
- Session cookies are signed with HMAC-SHA256.
- All database queries are scoped by company to prevent cross-tenant data access.
- Raw print job data is stored in encrypted-at-rest cloud storage.
While we strive to protect your information, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.
6. Data Retention
We retain print job data, documents, and associated metadata for as long as your account is active or as needed to provide the Service. Device captures and processed documents are retained according to your company's configuration. When a company account is deleted, all associated data (devices, printers, captures, documents, templates, actions, and user associations) is permanently deleted.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information
- Object to or restrict certain processing of your data
- Data portability (receiving your data in a structured format)

8. Cookies
We use essential cookies only — specifically, session cookies for authentication (login sessions) and company selection. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.
9. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child, we will take steps to delete it promptly.
